What is Refera

Refera gives the whole practice one place to see what arrived, who is on it and what needs to happen next. It works with the inbox and booking system the team already uses. It is built for GP, allied health, specialist and multidisciplinary practice teams.

  1. Connect. Choose the referral inbox and complete its safety checks. New referrals then join one shared list, oldest first. See available connections.
  2. See what arrived. Refera shows the admin details and makes the text searchable. Any urgency wording is copied from the referral and linked to its source. The list is never re-sorted.
  3. Do the next job. A named staff member takes the referral, contacts the patient through the practice’s normal channel and records the outcome. Refera can prepare copy, but a person approves every external action.
  4. Keep a clear history. Refera records who did what and when. Later changes remain visible.

Every practice begins at refera.au/onboard. The authorised person confirms their work email, accepts the terms and opens Refera for the practice. Refera then guides them through choosing and testing the first referral inbox.

The first 50 referrals are free, with the full product, no card, no time limit and no automatic charge. At the allowance cap, new referrals pause until a practice administrator explicitly starts a paid subscription. Existing records remain available to read, work and export.

For Microsoft 365, choose whether to connect an inbox now or prepare one first. A suitable inbox can be shared or individual and does not need to be named referrals@. If it exists, enter the primary address Microsoft shows for it, then choose I can approve Microsoft 365 access or Another administrator will approve. Finish later keeps that choice without requesting access and leaves new referrals off. If it does not, save a setup plan to create one, consolidate several routes or confirm the address with IT. A short Microsoft admin approval gives read-only access to the chosen inbox only, then Refera proves the nominated mailbox is allowed, an unrelated mailbox is denied and a safe test email with no patient information arrives. The connected Inbox shows the time of its last successful check and a personal new arrivals counter for records this browser has seen since Refera opened. Staff can refresh immediately; a failed or offline check leaves the existing queue intact and reports the interruption instead of showing a false fresh time.

Optional Web Push is enabled per device from Settings > Notifications. Lock-screen copy is generic and count-only, with no patient, referrer, referral or clinical detail. Desktop browsers can opt in directly. On iPhone and iPad, Refera must first be installed as a Home Screen web app.

The same data layer powers connected Practice analytics: arrival volumes, channels, administrative timing, closure and top identified referrers. Relationship gaps and geography remain a clearly labelled design exploration, never clinical decisions about patients.
