Practice branding

Who this page is for: the practice Owner or Admin who wants Refera to feel like the practice’s own workspace without weakening status colours or accessibility.

Practice branding is optional. Refera works with its normal identity if you skip it.

Public signup asks only for the information needed to create the workspace. It does not fetch a website, choose colours or add branding to the signed agreement. After sign-in, open Settings -> Appearance -> Practice branding, enter the optional public practice website and choose Find brand only when you want Refera to prepare a candidate. There is no automatic lookup.

The candidate shows:

  • the practice name beside Refera as Clinic x Refera;
  • a small embedded raster logo, when a suitable one is found;
  • a primary and accent colour;
  • the public website and source used for the preview; and
  • any warning about a missing logo or uncertain colour.

The candidate is only a preview. It is not stored as the practice brand until you choose Use this brand. You can instead open Choose colours instead and select a restrained manual palette, or choose Use Refera defaults. A lookup failure opens the manual choices and never blocks workspace use.

Refera’s server reads a bounded public homepage and, when available, one bounded public raster logo. It checks every DNS answer and redirect before opening a connection and refuses private, loopback, link-local, metadata, local and documentation destinations.

The browser never hotlinks the practice website or logo. An eligible PNG, JPEG or icon is downloaded by the server, checked, capped at 48 KiB decoded and returned as an embedded data image. SVG and remote image URLs are not accepted into the saved brand. The server returns the canonical public website, safe colours, the embedded logo when available and bounded warnings. Homepage content is not retained or returned.

The extracted colours are normalised to six-digit RGB values and adjusted into an accessible accent range. The workspace adapts the primary colour again where a dark theme needs more contrast.

Open Settings -> Appearance -> Practice branding. An Owner or Admin can:

  1. enter or correct the public website;
  2. choose Find brand to prepare a new candidate;
  3. inspect the Clinic x Refera preview;
  4. choose a manual accessible palette or Refera defaults; and
  5. choose Save practice brand.

Staff can see the saved practice identity but cannot change it. The save is practice-wide and revision-checked, so an older settings tab cannot silently replace a newer choice.

A confirmed brand appears in the workspace switcher, practice avatars and the shared workspace accent. The Refera identity stays visible beside the practice identity. In supported browsers, light-theme browser chrome can follow the confirmed primary colour.

Practice branding never recolours warning, error, security, referral-state or other meaning-bearing status controls. Those colours keep their fixed Refera meanings. Each staff member’s personal light, dark, automatic, density and non-default accent preference remains a separate device choice.

The website, colours and logo are practice business identity, not patient information. The saved brand is a small confirmed tenant setting. The lookup does not receive referral content, and the website or branding fields must never contain patient, referral or clinical details.
