Connect referral email
Refera starts with the inbox reception already checks. For Microsoft 365 practices, the connection is guided: choose the inbox, ask your Microsoft 365 admin to approve access and let Refera complete the connection checks in the background.

Section titled “Microsoft 365”Connect one existing shared or individual inbox per Refera workspace. The address can be
reception@, admin@, referrals@ or any other inbox the practice deliberately chooses.
- Sign in to Refera with your own work email.
- Enter the primary address of the inbox that receives referrals.
- Choose I can approve Microsoft 365 access if you manage Microsoft 365 and Exchange for the practice, or Another administrator will approve to copy the short-lived link for IT. Finish later saves the inbox without requesting Microsoft access; new referrals stay off.
- Refera restricts read access to that inbox, proves another inbox is blocked and verifies the delivery path before new referrals start.
The administrator sessions end after setup. Refera stores no staff password and keeps no ongoing administrator permission. Ongoing access uses a certificate-backed, read-only permission scoped to the exact inbox the practice nominated. Existing email is not imported.
Fax-to-email and scanned PDFs
Section titled “Fax-to-email and scanned PDFs”If a fax provider or scanner already sends PDF documents to the connected inbox, those messages follow the same verified path into the Refera worklist. The practice keeps the original email and attachment in Microsoft 365.

If the practice has no suitable inbox
Section titled “If the practice has no suitable inbox”A dedicated referrals@ address is not required. Use an existing inbox reception already checks,
or save setup and return after IT creates or confirms one. If referrals currently reach several
inboxes, choose one practice-owned destination and have Microsoft 365 route new referral mail to
it before connecting Refera.
Refera never guesses an inbox from the user’s sign-in address and never treats a Microsoft group or distribution list as a mailbox.
Other providers and secure messaging
Section titled “Other providers and secure messaging”Google Workspace, IMAP, HealthLink and Medical-Objects are not self-serve production connectors in this release. Refera does not label them connected merely because an adapter or design exists. Practices using one of these routes can contact Refera to record demand and confirm the supported path before sending patient information.
What happens after connection
Section titled “What happens after connection”New arrivals appear in the shared worklist in arrival order. Staff can claim the next follow-up, record contact attempts and record a booking made in the practice’s existing booking or practice management system. Refera performs no clinical triage and does not contact patients independently.
